This privacy policy sets out how Akal Software Ltd uses and protects any information that you give us when you use this website.

Akal Software Ltd is committed to ensuring that your privacy is protected. Should we ask you to provide certain information by which you can be identified when using this website, then you can be assured that it will only be used in accordance with this privacy statement.

Akal Software Ltd may change this policy from time to time by updating this page. You should check this page from time to time to ensure that you are happy with any changes.

The following policy is effective from 15 June 2018.

On what legal basis are we processing personal information?

This is as per Article 6 of the GDPR:

1. Consent - you given clear consent for us to process your personal data for a specific purpose
2. Contract - the processing is necessary for a contract we have with you, or because you have asked us or we have asked you to take specific steps before entering into a contract
3. Legal obligation - the processing is necessary for us to comply with the law (this does not include contractual obligations)

What do we collect?

We collect the following personal data with your consent:

• Full name
• Contact information including email address, phone number and postcode
• Your eligibility to work in the UK
• GitHub username and any open source projects you may have worked on
• Company name
• Curriculum Vitae, usually containing your full name, previous work experience and education information

Through the course of the recruitment process we may also collect and process the following data, some which could be considered to be special category data and thus would be treated with greater care and protection. We would only collect this data with your full consent and it would only be for the contractual and legal purposes of assessing your suitability for a particular role, whilst ensuring you are treated fairly during the recruitment process and all laws around equality and disability are followed:

• Health conditions you may have
• Any previous criminal convictions
• Credit check to determine your financial situation

Since this data is much more personal we shall only store this data in the most brief and anonymous form possible to ensure compliance with our contractual obligations. We would also delete this data from our systems as soon as either a contract is signed or you are found not to be suitable for a position.

What we do with this information?

This information is only used for recruitment purposes including:

• Matching work experience to permanent and contract vacancies we have on offer within Akal and with active clients working with us
• Contacting matched people to determine their interest for roles
• Transferring your information into a written contract with us
• Storing or archiving these contracts and invoices for legal purposes for the lengths of time specified by law

Please note we would not in any circumstance pass on your information to another department within Akal or to a client, without your express written permission first

How long do we keep the personal information we collected?

Once a year, we review all records containing personal information which have had no activity (meaning no updates or communication between the person and Akal) for a period of 2 years or more.

Security

We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable systems and procedures to safeguard and secure the information we store. These include but are not limited to:

• Restricting access to files which contain personal data to the personnel who require it as part of their daily duties
• Continually reviewing this access to ensure personal data is secured
• Using encryption tools for email and file attachments, or other methods of secured transfer, whilst communicating internally and externally

How we use cookies

Akal do not directly use cookies, however some of third parties we use for analytics or collecting information on our website may use cookies.

A cookie is a small file which asks permission to be placed on your computer’s hard drive. Once you agree, the file is added and the cookie helps analyse web traffic or lets you know when you visit a particular site. Cookies allow web applications to respond to you as an individual. The web application can tailor its operations to your needs, likes and dislikes by gathering and remembering information about your preferences.

We use traffic log cookies to identify which pages are being used. This helps us analyse data about webpage traffic and improve our website in order to tailor it to customer needs. We only use this information for statistical analysis purposes and then the data is removed from the system.

Overall, cookies help us provide you with a better website by enabling us to monitor which pages you find useful and which you do not. A cookie in no way gives us access to your computer or any information about you, other than the data you choose to share with us.

Controlling your personal information

Akal will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so.

You may request details of personal information which we hold about you under the EU General Data Protection Regulation (GDPR). As long as your request is reasonable, called a Subject Access Request (SAR), no fee would be charged for accessing, updating or removing your information.

If you would like a copy of the information held on you please write to privacy@akalsoftware.com detailing your request and we will endeavour to address your request within one month.

You may request your personal information to be erased under the EU General Data Protection Regulation (GDPR). If you would like to action this, please write to privacy@akalsoftware.com. Again the lead time for this request is up to one month.
